Document control is specific work, and the answer usually depends on details a first email leaves out. Four lines is normally enough:
- The shape of the project — sector, roughly how many documents, how many organisations issue into it.
- The numbering you have to follow — a client scheme, ISO 19650, or something inherited that nobody can change.
- What has to leave the system — transmittals to a client, a handover package, a regulator's request.
- What is holding it up today — usually a spreadsheet, a mailbox, or a system somebody has stopped trusting.
If you are running a security review, say so in the first line and the policy documents come back attached rather than promised.
